General Agreement
These Guest Terms & Conditions govern reservations and stays at Camp Yellow Cardinal, LLC (“Camp Yellow Cardinal,” “we,” “us,” or “our”).
By completing a reservation, the person making the reservation acknowledges that they have read, understood, and agree to these Guest Terms & Conditions on behalf of themselves and all other guests included in the reservation. The person making the reservation is responsible for ensuring that all members of their party comply with these Terms.
Reservations may also be subject to specific rate-plan terms, policies, and notices displayed during booking. If a specific rate-plan term expressly conflicts with these general Terms, the specific rate-plan term will control only with respect to that reservation.
Our collection and use of personal information are described in our Privacy Policy.
Reservation & Payment
- Reservation charges
- Approved add-ons or incidental purchases
- Damages or missing property
- Excessive cleaning
- Unauthorized smoking
- Unauthorized late checkout
- Hot tub contamination or damage
- Other documented charges or policy violations permitted by these Terms and applicable law
Cancellation & Rescheduling
Camp Yellow Cardinal has a limited number of accommodations. Each confirmed reservation removes a dome from availability exclusively for that guest. The following cancellation and rescheduling rules therefore apply.
Cancellation Policy
- 30 or more days before arrival: Guests may cancel for a full refund.
- 14–29 days before arrival: Guests may cancel for a 50% refund.
- Fewer than 14 days before arrival: Reservations are non-refundable.
All cancellation requests must be submitted in writing by email to info@campyellowcardinal.com. A cancellation request becomes effective based on the date and time it is received in Camp Yellow Cardinal’s local time zone.
Camp Yellow Cardinal operates rain or shine. A guest’s decision not to travel because of rain, ordinary weather conditions, travel delays, personal circumstances, or concerns about forecasted weather remains subject to this Cancellation Policy.
Refunds are issued to the original payment method whenever reasonably possible. The time required for a refund to appear may depend on the guest’s bank or card issuer.
Rescheduling Policy
A guest may reschedule a reservation one time without a rescheduling fee when the request is received more than 14 days before arrival.
A rescheduled reservation is subject to the following conditions:
- New dates must occur within 12 months of the original arrival date.
- New dates are subject to availability.
- If the new dates have a higher price, the guest must pay the difference.
- If the new dates have a lower price, the original reservation value will be applied and no refund or credit will be issued for the difference.
- The reservation may be rescheduled only once.
- A rescheduled reservation is final and may not later be cancelled for a refund.
Requests Within 14 Days of Arrival
Reservations within 14 days of arrival are normally non-refundable and may not be rescheduled.
If Camp Yellow Cardinal is able to rebook the assigned dome for the same dates, we may permit a one-time reschedule at our discretion. Rebooking the dome does not guarantee that a reschedule will be approved.
No-Shows
If a guest does not arrive for a reservation and has not received written approval to cancel or reschedule it, the reservation is considered a no-show and is non-refundable and non-transferable.
Check-In & Check-Out
Standard check-in begins at 4:00 PM on the scheduled arrival date. Guests should not enter or occupy their dome before check-in unless early check-in has been confirmed.
Standard check-out is 11:00 AM on the scheduled departure date.
Subject to availability, guests may purchase:
- Early check-in at 1:00 PM: $50
- Late check-out at 2:00 PM: $50
Early check-in and late check-out must be requested and confirmed in advance. Purchasing or requesting either add-on does not guarantee availability until Camp Yellow Cardinal provides confirmation.
Guests who enter an accommodation before the authorized check-in time or remain after the authorized check-out time may be charged for resulting operational costs, including up to the applicable nightly rate when the unauthorized use materially affects another reservation or property operations.
Before departure, guests must follow the checkout instructions provided by Camp Yellow Cardinal.
Guest Eligibility & Occupancy
Camp Yellow Cardinal is an adults-only property.
The person making the reservation and every person staying at or visiting the property must be at least 18 years old. Guests under 18 are not permitted.
Each dome has a maximum overnight occupancy of two registered adults. Only guests listed on the reservation may stay overnight.
Visitors who are not registered overnight guests must receive advance approval from Camp Yellow Cardinal before entering the property. Approved visitors must comply with these Terms, and the registered guest remains responsible for their conduct.
Exceeding the occupancy limit or permitting unauthorized overnight guests may result in additional charges or removal from the property without refund.
Accessibility & Service Animals
Camp Yellow Cardinal provides designated ADA-accessible features, including:
- ADA-accessible parking
- An ADA-accessible route to a designated campsite
- An ADA-accessible campsite with ramp access
- An ADA-accessible bathroom
Camp Yellow Cardinal is located in a natural wooded environment. Terrain and accessibility vary throughout the property, and not every campsite, trail, activity, feature, or amenity is necessarily ADA-accessible.
Guests with specific accessibility needs are encouraged to contact Camp Yellow Cardinal before booking so that we can provide current information about the property’s features and discuss reasonable accommodations.
Qualified service animals are welcome in accordance with applicable law. Service animals are not pets and must remain under the handler’s control. Guests are encouraged, but not required, to contact us before arrival when traveling with a service animal so that we can discuss relevant access and safety considerations.
Camp Yellow Cardinal does not impose a pet fee or automatic cleaning charge for a service animal. Guests remain responsible for actual damage caused by a service animal on the same basis as damage caused by a guest. Federal ADA guidance permits lodging businesses to charge for actual damage caused by a service animal when guests are otherwise charged for similar damage.
Parking & Vehicles
Parking is included with each reservation.
The following rules apply:
- A maximum of two vehicles is permitted per dome.
- Vehicles must remain in designated parking areas.
- Guests may not drive vehicles down campsite paths or trails.
- The property speed limit is 10 mph.
- RVs, campers, trailers, and similar vehicles are not permitted.
- Primitive camping is not permitted anywhere on the property.
- Guest-operated ATVs, UTVs, golf carts, motorized scooters, dirt bikes, and similar recreational vehicles are not permitted.
Camp Yellow Cardinal may restrict, relocate, tow, or require removal of a vehicle that creates a safety hazard, obstructs access, damages the property, or violates these rules. Any towing or related expense will be the responsibility of the vehicle owner.
Property Rules
Camp Yellow Cardinal is designed as a quiet nature retreat. Guests must behave respectfully toward other guests, staff, neighboring properties, and the natural environment.
Quiet Hours, Visitors & Events
Quiet hours are observed from 10:00 PM to 8:00 AM.
The following are not permitted without advance written approval:
- Parties
- Gatherings
- Events
- Commercial activities
- Professional photography or filming
- Unauthorized visitors
Excessive noise, disruptive conduct, unauthorized guests, threatening behavior, harassment, illegal activity, or conduct that interferes with another guest’s stay may result in warnings, charges, or removal from the property without refund.
Smoking
Smoking is not permitted:
- Inside any dome
- Inside the bathhouse
- On the shared trail system
For purposes of this policy, smoking includes cigarettes, cigars, pipes, vaping, and cannabis smoking or vaping.
Smoking is permitted only outdoors at the guest’s assigned campsite. Guests must safely and completely extinguish smoking materials and dispose of cigarette butts and other waste properly. Butts and smoking materials may not be discarded on the ground or elsewhere on the property.
Smoking inside a dome will result in a $200 cleaning and remediation charge. Additional charges may apply when the actual cost of cleaning, odor remediation, repairs, lost use, or damage exceeds that amount.
Alcohol
Guests who are legally permitted to consume alcohol may do so responsibly at their assigned campsite.
Alcohol may not be consumed in the bathhouse, on trails, in parking areas, or throughout other shared areas of the camp.
Glass containers are not permitted in or immediately around a hot tub.
Guests may not provide alcohol to anyone under the legal drinking age. Alcohol-related behavior that creates a disturbance, safety concern, or risk to other guests or property may result in removal without refund.
Drones
To protect guest privacy and the peaceful enjoyment of the property, the launch, landing, or operation of drones or other unmanned aircraft is prohibited anywhere at Camp Yellow Cardinal.
Hot Tubs, Grills & Outdoor Equipment
Hot Tubs
Each hot tub has a maximum occupancy of four people. Hot tub use is limited to registered guests and any visitors specifically approved by Camp Yellow Cardinal.
Guests must:
- Follow all posted instructions and safety rules
- Keep glass containers out of and away from the hot tub
- Keep food out of the hot tub
- Replace and secure the cover after use
- Report damage, contamination, or equipment problems promptly
- Avoid using the hot tub while impaired
- Use the hot tub only when they can do so safely
Guests may not:
- Tamper with controls, pumps, drains, filters, chemical systems, or other equipment
- Add soaps, oils, bath products, chemicals, food, or other substances
- Sit, stand, walk, or place heavy objects on the hot tub cover
- Drain, refill, or attempt to service the hot tub
- Permit unauthorized persons to use the hot tub
Guests are responsible for determining whether hot tub use is medically appropriate for them. Anyone who is pregnant, has a medical condition, takes medication, or has another health concern should consult an appropriate healthcare professional before use.
Camp Yellow Cardinal may temporarily close a hot tub for maintenance, sanitation, contamination, weather, safety, or operational reasons.
A temporary hot tub closure does not automatically entitle a guest to a full or partial refund. Camp Yellow Cardinal may provide an appropriate remedy at its discretion based on the duration, cause, and circumstances of the closure.
Guests may be charged reasonable cleaning, draining, refilling, repair, replacement, labor, and lost-use costs resulting from misuse, contamination, tampering, or damage.
Propane Grills
Propane grills must be used only for their intended purpose and in accordance with posted instructions.
Guests may not:
- Move a grill from its designated location
- Alter, disconnect, or replace propane connections or cylinders
- Leave an operating grill unattended
- Use a grill inside a dome, beneath enclosed structures, or in another prohibited location
- Bring or operate personal grills, burners, fryers, fire appliances, or similar cooking equipment without prior written approval
After use, guests must turn off the grill and leave it in reasonably clean condition.
Furnishings & Equipment
Furniture, games, records, appliances, safety equipment, and other property belonging to Camp Yellow Cardinal may not be removed from the assigned dome, campsite, or designated area without permission.
Guests must use all equipment only for its intended purpose and report damage or malfunction promptly.
Fire Safety
Campfires are permitted only in the designated fire pit provided at each campsite and only when fires are permitted by Camp Yellow Cardinal and applicable law.
Guests must:
- Follow all posted instructions, burn restrictions, and staff directions
- Keep fires at a safe and manageable size
- Maintain control of the fire at all times
- Never leave a fire unattended
- Keep flammable materials a safe distance away
- Fully extinguish the fire before leaving the campsite or retiring for the evening
Camp Yellow Cardinal may restrict or prohibit campfires because of dry conditions, weather, burn bans, emergencies, or other safety concerns.
Firewood is available for purchase. Guests may also bring their own firewood.
Guests may not:
- Cut, damage, or remove standing trees or vegetation
- Collect deadfall, branches, or other natural materials from the property for fuel
- Burn trash, treated wood, plastic, glass, metal, or other prohibited material
- Move the fire pit or construct a separate fire area
- Use fireworks, explosives, or similar devices
Guests are responsible for damage, injury, cleanup, emergency-response costs, or other losses caused by negligent or prohibited fire use, to the extent permitted by law.
Pets
Pets are not permitted at Camp Yellow Cardinal.
This prohibition does not apply to qualified service animals permitted under applicable law. Emotional-support, comfort, or companion animals that do not qualify as service animals under applicable law are treated as pets for purposes of this policy.
Unauthorized pets may result in removal from the property, additional cleaning or remediation charges, and cancellation of the remaining stay without refund.
Property Damage & Additional Charges
Guests are responsible for leaving domes, furnishings, equipment, hot tubs, campsites, bathrooms, and other facilities in substantially the same condition in which they were provided, excluding ordinary wear and tear.
Camp Yellow Cardinal may charge the card on file for reasonable and documented costs resulting from:
- Damage to accommodations, furnishings, equipment, or facilities
- Missing property
- Excessive cleaning
- Unauthorized smoking
- Unauthorized pets, guests, parties, or events
- Hot tub contamination, misuse, or damage
- Damage caused by negligent use of fire, grills, or outdoor equipment
- Unauthorized early arrival or late departure
- Policy violations that cause measurable loss, remediation expense, or interruption to operations
Charges may include reasonable repair, replacement, remediation, cleaning, labor, shipping, professional-service, emergency-response, and lost-use costs.
Where reasonably practicable, Camp Yellow Cardinal will provide the guest with notice describing the charge and its basis.
The person making the reservation is financially responsible for the actions of all guests and approved visitors associated with the reservation.
Lost & Found
Camp Yellow Cardinal is not responsible for lost, misplaced, damaged, or stolen personal property.
Found items will generally be held for 30 days. Camp Yellow Cardinal will make reasonable efforts to identify and contact the owner of an item.
When an owner is identified, Camp Yellow Cardinal will ship the item by standard United States Postal Service delivery at no cost to the guest. If the guest requests another carrier, expedited delivery, insurance, special packaging, or another service, the guest is responsible for the additional cost.
Items that are unsafe, unsanitary, perishable, prohibited by law, or impractical to store may be disposed of sooner. Items not claimed within 30 days may be donated, discarded, or otherwise disposed of at Camp Yellow Cardinal’s discretion.
Outdoor Activities & Assumption of Risk
Camp Yellow Cardinal is located in a natural outdoor environment. Staying at and moving through the property may involve risks associated with:
- Uneven, wet, steep, or slippery terrain
- Trails, steps, decks, ramps, gravel, roots, rocks, and natural surfaces
- Wildlife, insects, plants, and other natural conditions
- Falling branches and changing forest conditions
- Weather, heat, cold, rain, wind, and storms
- Campfires, grills, hot tubs, and outdoor equipment
- Limited nighttime visibility
- Participation in outdoor activities
Guests are responsible for exercising reasonable care, following posted instructions, using equipment appropriately, wearing suitable footwear and clothing, and evaluating whether an activity is appropriate for their abilities and circumstances.
By entering the property and voluntarily participating in outdoor activities, guests acknowledge and accept the ordinary and inherent risks associated with a wooded outdoor lodging environment.
Nothing in these Terms waives or limits any right or liability that cannot lawfully be waived or limited.
Property-Caused Cancellation & Force majeure
Camp Yellow Cardinal operates rain or shine. Ordinary rain, seasonal weather, travel concerns, or a guest’s personal decision not to travel remain subject to the standard Cancellation & Rescheduling Policy.
Camp Yellow Cardinal may cancel, shorten, relocate, delay, or modify a reservation when the property cannot reasonably, legally, or safely provide the stay because of circumstances such as:
- Severe weather
- Natural disaster
- Fire
- Government order
- Utility outage
- Infrastructure or equipment failure
- Unsafe property conditions
- Public-health or safety concerns
- Construction, inspection, or permitting delay
- Labor or supply interruption
- Another event beyond Camp Yellow Cardinal’s reasonable control
If Camp Yellow Cardinal cancels a reservation because it cannot provide the booked accommodation, the guest will be offered either:
- A refund of the amount paid for the unavailable portion of the stay, or
- A credit toward a future stay
The guest may choose between the available refund and future-credit options unless applicable law or unusual circumstances require another remedy.
Camp Yellow Cardinal is not responsible for incidental or consequential expenses arising from a cancellation or modification, such as transportation costs, missed activities, alternate lodging, lost wages, or other travel expenses, except where required by law.
Right to Refuse Service or Remove Guests
Camp Yellow Cardinal may refuse service, cancel a reservation, restrict access, or require a guest or visitor to leave the property when the person:
- Violates these Terms or posted property rules
- Engages in illegal activity
- Creates a health, fire, security, or safety risk
- Threatens, harasses, or endangers another person
- Damages or misuses property
- Creates excessive noise or materially interferes with another guest’s stay
- Brings an unauthorized guest, animal, vehicle, or prohibited item onto the property
- Provides materially false reservation information
- Fails to pay amounts properly due
- Refuses to follow reasonable staff instructions
Removal for a guest-caused violation may occur without refund. The guest remains responsible for charges, damage, and other obligations incurred before removal.
Nothing in this section authorizes discrimination prohibited by applicable law.
Privacy
Our collection, use, disclosure, retention, and protection of personal information are described in our Privacy Policy.
Information collected during booking may be used to process and administer the reservation, communicate with guests, collect payments, provide guest services, maintain records, and carry out the other purposes described in the Privacy Policy.
Electronic Acceptance & Communications
By checking the applicable acceptance box and completing a reservation electronically, the guest agrees to conduct the transaction electronically and to receive reservation confirmations, notices, disclosures, and other transactional communications by email and, when provided or authorized, text message.
Electronic contracts and signatures generally may not be denied legal effect solely because they are electronic under Virginia’s Uniform Electronic Transactions Act.
Marketing communications are governed separately by the permissions and preferences provided by the recipient and by our Privacy Policy.
Informal Dispute Resolution
Before filing a lawsuit arising from or relating to a reservation, stay, payment, property policy, or these Guest Terms & Conditions, the guest and Camp Yellow Cardinal agree to make a good-faith effort to resolve the dispute informally.
A guest initiating a dispute must send a written notice to: info@campyellowcardinal.com
The notice should include:
- The guest’s name and contact information
- The applicable reservation dates and confirmation information
- A description of the dispute
- The remedy or resolution requested
- Supporting information reasonably relevant to the dispute
Camp Yellow Cardinal may provide a dispute notice to the email address associated with the reservation.
The parties will have 30 days after receipt of the written notice to attempt to resolve the dispute informally. Either party may agree in writing to extend that period.
If the dispute is not resolved within the applicable period, either party may pursue an available claim in court.
Nothing in this section prevents either party from:
- Filing an eligible matter in small claims court
- Seeking emergency or temporary injunctive relief when necessary to prevent immediate harm
- Taking action when a legal filing deadline would otherwise expire
Governing Law & Venue
These Guest Terms & Conditions and any dispute arising from a reservation or stay are governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-law principles.
After completing the informal dispute-resolution process, any court proceeding arising from or relating to these Terms, a reservation, or a stay must be brought in a state court with proper jurisdiction in Prince Edward County, Virginia, or in the applicable federal court with jurisdiction over Prince Edward County.
Nothing in these Terms limits consumer protections, jurisdictional rights, or venue rules that cannot lawfully be waived.
Third-Party Rights
These Terms are between Camp Yellow Cardinal and the guest. They do not create enforceable rights for another person except where required by law or expressly stated in these Terms.
No Waiver
A failure or delay by Camp Yellow Cardinal in enforcing a provision of these Terms does not waive our right to enforce that provision or another provision later.
A waiver is effective only when made in writing by an authorized representative of Camp Yellow Cardinal.
Severability
If a provision of these Terms is determined to be invalid, unlawful, or unenforceable, that provision will be enforced to the maximum extent permitted by law or modified as necessary to reflect its intended purpose.
The remaining provisions will continue in full force and effect.
Entire Agreement
These Guest Terms & Conditions, together with the reservation confirmation, applicable rate-plan terms, policies displayed during booking, and documents expressly incorporated by reference, constitute the agreement between the guest and Camp Yellow Cardinal concerning the reservation and stay.
If a reservation confirmation or specific rate-plan term expressly conflicts with these general Terms, the more specific term will control only with respect to that reservation.
Changes to Terms
We may update these Guest Terms & Conditions periodically to reflect changes in our services, property operations, policies, or legal obligations.
The Terms in effect when a reservation is completed generally govern that reservation unless:
- The guest agrees to a later version
- A change is required by law
- A change is necessary to address an immediate health, safety, security, or operational concern
The current version will be posted on our website with an updated “Last Updated” date.
